Two Easy Steps to set up Live captioning in Zoom!
Step 1: Ensure you have a licensed ConferZoom account
If you do not already have a licensed ConferZoom account, please follow the steps below to create one. The account is free to all SDCCD employees with an employee email ending in @sdccd.edu and is required in order for Otter.ai to transcribe your ConferZoom sessions.
- Visit www.conferzoom.org
- Fill out the form (ensure that you are using your @sdccd.edu email address)
- Submit the form by clicking the blue "Sign Up" button
Within 72 hours, you should receive an email asking you to confirm your ConferZoom account. Once confirmed your account setup will be complete.
Step 2: eNABLE cLOSED CAPTIONS WITHIN YOUR zOOM mEETING
- Click on the "CC Live Transcript" Button in the bottom menu and click "Enable Live Transcription"
- Subtitles will now appear on your screen and students will be able to enable or disable captioning on their own device. To disable captions simply click on the arrow next to the CC button and select "Hide Captions"
- If prefered, a streaming transcript can be opened in side view by clicking on the arrow on choosing the "VIew Full Transcript Option"

Enabling Captions for Students
To Enable Closed Captions within Zoom
- Open the Zoom link for your live class session
- Click the Closed Caption Button on the bottom menu and click "Show Subtitle"
3. If needed adjust option size by Clicking "Subtitle Settings"
4. Drag slider to choose caption font size

DO Students need an Otter.ai account?
It is not required to have an Otter.ai account to view the live transcript in your ConferZoom sessions as an attendee (students). The only time a student will need a free Otter.ai account is if they will be participating inside of a ConferZoom breakout room and need access to the live transcript.
I Don't see the CC option in my zoom session, who do I contact?

Does Otter Support any kind of voice training to improve transcript accuracy?
Yes!
Otter.ai is designed to get smarter over time the more it hears your voice. To help with this, Otter allows you to record a "voiceprint" of yourself. The voiceprint helps Otter accuracy when listening to you speak and transcribing your words. To setup your voiceprint follow the steps below.
Click on your account profile to the top left
Click on "Account Settings"
Click on "My voiceprint"
Click the blue record button, and begin reading the paragraph
This will help improve Otter's accuracy when hearing your voice.
Otter keeps transcribing my name incorrectly, is there anyway to fix this?
Yes!
You can teach Otter.ai proper names, jargon, acronyms, and other subject-specific words. When logged in to your Otter.ai account, perform the following steps:
Click on your account profile to the top left
Click "Account Settings"
Click "Manage Vocabulary"
TEAM VOCABULARY
For names and words that could be beneficial for the entire team (all SDCCD Otter users)
PERSONAL VOCABULARY
For names and words that are more specific to you or your subject matter.
Is there any way to teach Otter subject specific words it might not be able to recognize?
Yes!
You can teach Otter.ai proper names, jargon, acronyms, and other subject-specific words. When logged in to your Otter.ai account, perform the following steps:

Click "Account Settings"
Click "Manage Vocabulary"
Team Vocabulary
For names and words that could be beneficial for the entire team (all SDCCD Otter users)

Is there a guide I can share with my students?
There is no guide for using Otter live transcripts inside of instructor-hosted ConferZoom sessions. However, students can still create a free Otter.ai account if they wanted to use the tool for other purposes. One example would be to get a live transcript during breakout rooms in ConferZoom sessions.
What is the difference between an Otter.ai basic account and a team account?
Basic (free) accounts can be created by anybody, and have more restrictions than Team accounts. Team accounts are premium accounts that have more features than Basic accounts.
I heard Otter.ai doesn't work in zoom breakout rooms, is there a workaround?
Unfortunately, this is a current limitation of Otter.ai; however there is a workaround for this. SDCCD students can create a free Otter.ai account, and use the Otter.ai mobile app on their mobile devices to automatically transcribe meetings inside of Zoom breakout rooms.
