The attached list of earnings codes is provided for the use of employees responsible for the production and use of the Personnel Assignment Status Sheet (PASS) and other timekeeping forms and reports.

Reportable Earnings Codes and Definitions

015 Retired instructor hourly pay Used to report retired hourly pay for instructors (not management).
016 Retired management Used to report hourly pay for retired managers.
020 Regular hourly pay Used to report classified hourly pay.
025 Hourly classroom pay Academic hourly classroom hours.
026 Hourly non- classroom pay Academic hourly non-classroom hours.
027 Student work study pay Work study student hours.
030 Overtime 1.5 Overtime pay for classified employees to be paid at 1.5.
032 Overtime 2.0 Double time for overtime worked in excess of 30 hours in a pay period (SEIU only).
033 Overtime 2.5 Compensation for a classified employee who works on a district-recognized holiday is 2.5 times the regular rate of pay.
035 Overtime 1.0 Classified overtime to be paid at 1.0.
040 Shift (B) differential Classified shift differential paid at approximately 5%.
041 Shift (C) differential Classified shift differential paid at approximately 2.5%.
042 Shift (D) differential

1.0% shift differential for work performed 3 hours or more before 7:00 a.m. or after 5:00 p.m. one day a week.

045 Shift (B) overtime Classified overtime for Shift B paid at 1.5.

4.0% shift differential for work performed 3 hours or more before 7:00 a.m. or after 5:00 p.m. four days a week.
050 Hazardous duty pay Hazardous duty pay for classified employees.
060 Out-of-class pay Pay for employees in out-of-class assignments.
070 Starred-rate additive Pay for employees whose positions have been reclassified and are guaranteed a monthly salary amount.
080 Extended-service pay Payment to contract academic employees for supervision or direction of student activities, curriculum development, writing projects or special assignments involving hours of service and responsibility beyond the range or normal assignments.
081 Grant stipend Pay for work performed under a special grant.
090 Special compensation Department Chairperson additive payment for academic contract.
100 Child development teacher additive Child development center lead instructor additive.
110 Substitute classroom pay Payment for academic hourly classroom substitutes.
111 Substitute non- classroom pay Payment for academic hourly non- classroom substitutes.
130 Extra time pay Payment to regular monthly classified employees who work less than 100% but work extra hours (up to 8 hours per day) in their assignment.

230 Military leave Used to report the two-weeks annual training duty (short-term leave).

240 Bereavement leave For reporting bereavement leave for death of member of the immediate family as specified in each bargaining agreement.

265 Off-site activities A paid absence for use when employees attend meetings or district functions at another site, other than their own work location.
270 Court appearance Used to report absences when employees are subpoenaed for court appearances (other than a litigant) as specified in the bargaining agreements.

Used to report absences when academic hourly employees working during the summer are subpoenaed for court appearances (other than as a litigant) as specified in the bargaining agreements.
280 Jury duty Absences reported for employees who are summoned for jury duty.

Absences reported for academic hourly employees working summer who are summoned for jury duty.
290 Overtime worked for compensatory time Overtime worked by a classified monthly employee who is going to take the compensatory time off in lieu of pay.
291 Compensatory time taken Compensatory time off taken for overtime worked.
292 Overtime paid for compensatory time Payment for overtime worked which was originally scheduled for compensatory time off and not taken in the allotted time as specified in the bargaining agreements.
300 Personal necessity leave Used for reporting personal necessity leave, maximum of six days per year, deducted from sick leave for reasons as specified in the bargaining agreements.
301 Personal necessity leave - summer

Used for reporting personal necessity leave for academic hourly who work summer, maximum of six days per year, deducted from sick leave, for reasons as specified in the bargaining agreements.
320 Personal observance (Academic) Used to report up to two days per year, deducted from sick leave, for full-time academic employees assigned less than twelve months and who accrue no vacation, for personal observances which are of such significance that to be absent from duty is a personal necessity.
330 On-the-job injury Used for reporting absences that are a result of on-the-job injury or illness.
331 On-the-job injury - summer

Used for reporting absences that are a result of on-the-job injury or illness for academic hourly employees.
360 Out-of-district travel/conference Used for reporting absences that have been approved as a result of an employee completing and securing approval of an out-of-district travel request form.
361 Out-of-district travel/conference - summer

Used for reporting absences for academic hourly employees who are working summer that have been approved as a result of an employee completing and securing approval of an out-of-district travel request form.
365 Staff development absence Used to report absences as a result of attendance at or participation in the district's staff development program.
430 Personal business leave - unpaid For reporting those absences as a result of a short-term leave of absence that is inexcess of two hours and not exceeding onemonth.
450 Unauthorized absence Used for reporting absences that have been taken without approval of management.
460 Suspension Used for reporting employees who have been suspended without pay.
461 Suspension with pay Used for reporting employees who have been suspended with pay.
470 Board absence Used for reporting an unpaid absence for a member of the Board of Trustees.
